Position Overview
We are seeking a detail-oriented Part-Time IT & Administrative Office Assistant to manage daily technical operations, frontline support triage, and essential bookkeeping tasks. This role ensures our morning operations run smoothly by verifying system integrity, enforcing communication protocols, and keeping financial records up to date.
Job Details
• Status: Part-Time, Permanent
• Compensation: $23.00 – $27.00 per hour (depending on experience)
• Schedule: Monday through Friday, 7:00 AM – 12:00 PM (Morning Shift)
• Location: On-site / Office-based
Key Responsibilities
Technical Operations & Triage
• System Verification: Execute daily morning Tech Ops (TOPS) checklists to ensure all systems are fully operational.
• Backup Verification: Review and confirm that all nightly system backups completed successfully.
• Incident Reporting: Generate status reports and log support cases in Odoo for the Technical Assistance Center (TAC) when system anomalies are detected.
Frontline Support & Communication Gatekeeping
• First Point of Contact: Manage incoming morning phone calls, emails, and text messages.
• Protocol Enforcement: Redirect clients attempting to bypass standard support channels to the central office line, adhering to corporate auto-reply policies.
• Ticket Management: Identify and log misplaced support requests into the ticketing system.
Financial Administration & Bookkeeping
• Check Processing: Scan and process incoming Accounts Receivable (AR) checks daily using a Chase check scanner.
• Invoicing: Convert employee timesheets into customer invoices within QuickBooks on a daily basis.
• Financial Reporting: Perform monthly account reconciliations and deliver Profit & Loss (P&L) statements and reconciliation records to leadership.
Office Support
• Calendar Management: Handle appointment setting and scheduling for internal team members.
• Administrative Organization: Manage the desk inbox and digital filing systems for financial records.
Qualifications and Skills
• Technical Aptitude: Experience running routine system checks or working with IT ticket systems.
• Software Proficiency: Familiarity with QuickBooks and Odoo ERP (or similar CRM/ticketing systems) is highly preferred.
• Communication Skills: Strong, professional communication style with the ability to firmly enforce company boundaries and support protocols.
• Financial Literacy: Basic understanding of bookkeeping, accounts receivable, and financial reports (P&L).
• Reliability: Punctuality is critical given the strict 7:00 AM shift start time.
